PURPOSE OF POSITION:
The purpose of this position is to provide clerical support as the secretary for different Iowa County departments, during short term assignments.
Essential Duties and Responsibilities
The following duties are customary for many Iowa County Secretary/Clerk/Typist positions. These are not to be construed as exclusive or all-inclusive. Responsibilities will vary between departments. Limited Term Secretary assignments may range in length from one half day to several months.
- Greet and assess the needs of the incoming telephone calls. This includes taking accurate telephone messages and when appropriate, referring the caller to appropriate staff.
- Greet and assess the needs of members of the public who walk-in.
- Provide clerical support to include word-processing, data input in spreadsheet software, and creating and maintaining electronic and hard copy records.
- Schedule appointments as requested.
- Process daily mail.
- Complete daily, weekly or monthly reports.
Additional Duties and Responsibilities:
- Perform all other duties as assigned.
Minimum Training and Experience Required to Perform Job Function
- Requires regular attendance when scheduled for work and the ability to work a reasonable percentage of assignment offered, normally with less than two weeks notice.
- High School diploma or GED.
Knowledge, Skills and Abilities Required to Perform Job Functions:
- Knowledge of appropriate safeguards for confidential information and ability to maintain confidentiality.
- Language, mathematical, judgmental/reasoning, and oral and written communication skills.
- Must possess a multi-task orientation.
- Working knowledge and skills to word-process using Microsoft Word in a Window's environment.
- Working knowledge and skills to effectively use Microsoft Excel in a Window's environment.
- Self starter able to accurately complete all job tasks with minimal supervision.
Working Environment:
- Typical working environment is within a non-smoking temperature controlled office.
Physical Requirements:
- Ability to operate office equipment such as multi-line telephones, copiers, facsimile machines, typewriters, personal computers, calculators, etc.
- Ability to exert very moderate physical effort in sedentary to light work activity, typically involving some combination or stooping, kneeling, crouching, lifting, carrying, pushing and pulling, and stair climbing.
If hired as a Limited Term Secretary, we do not expect that person to be available for every assignment offered, especially with short notice. However, our expectation is that persons who are interested must have sufficient flexibility in their schedule to be able to accept a reasonable percentage of assignments. If persons hired do not make themselves available on a regular basis, it reduces the probability they will be called in the future. Hours of work will normally be within the range of 8 a.m. to 4:30 p.m. and normally 7-8 hours per day. Most assignments are offered with several days advance notice.
